Managed fleet safety
Your outsourced compliance and fleet safety department, for fleets of about 5 to 25 power units.
- Available remotely, all 50 states: For fleets of about 5 to 25 power units
Managed fleet safety makes us your outsourced compliance and fleet safety department. Each month we track your driver files, deadlines, testing program, hours of service exceptions, maintenance records and safety scores, and we tell you what needs attention.
It is built for growing carriers with about 5 to 25 power units that have outgrown doing it themselves but do not have a full-time safety manager.
Every client starts with a fleet compliance review, so we can see your records and agree on a written scope before any monthly work begins.
Who this is for
- Carriers with about 5 to 25 power units
- Owners or office managers who handle safety on top of everything else
- Carriers that just had a bad roadside inspection, audit notice or insurance renewal and want a steady system
What we need from you to start
- Your USDOT number and a list of drivers and power units
- Read access to your ELD and maintenance records, or regular exports of them
- Your current driver files and testing records, in any condition
- One person at your company who can approve decisions
Common problems we fix
- Driver records scattered across email, folders and the truck cab
- Medical cards, licenses and annual reviews that expire without anyone noticing
- No one clearly responsible for safety and compliance tasks
- A testing program that is hard to keep up with: random selections, Clearinghouse queries, paperwork
- Hours of service exceptions that no one reviews
- Maintenance and inspection records that are hard to find
- Worry about what an auditor would find
What the monthly service includes
- Driver qualification file organization and monitoring, for every driver
- Expiration and deadline tracking with reminders before items are due
- Drug and alcohol testing program coordination: random selections, scheduling and records
- FMCSA Drug and Alcohol Clearinghouse support, within the access you give us
- Monthly ELD and hours of service exception and trend review, using the data you authorize
- Vehicle maintenance and inspection record tracking
- Monthly CSA monitoring, and help preparing DataQs requests when the records support one
- Audit preparation and evidence organization
- Corrective action tracking and follow-up
- A monthly compliance status report
- A quarterly review meeting with a mock-audit style check of a sample of files
- Coordination with qualified specialists when work needs extra expertise
Your monthly report
Each month you get a short written report that shows:
- What is current and what is missing, driver by driver
- What expires in the next 60 days
- Hours of service exceptions and trends for the month
- Maintenance and inspection items that are open
- Changes in your CSA data
- Open corrective actions and who owns each one
How often we do each part
- Ongoing: deadline tracking, reminders, and testing program coordination
- Monthly: file monitoring, hours of service review, maintenance record check, CSA check, and your status report
- Quarterly: review meeting and mock-audit style file check
- As needed: audit preparation, DataQs help and specialist coordination
Your responsibilities and approvals
You stay in charge of your company. We organize, track, review and recommend. You decide and approve.
- Send documents and give system access on time
- Tell us about new hires, terminations, crashes, roadside inspections and audit notices
- Make all hiring, discipline and removal-from-duty decisions
- Approve any DataQs request, policy change or filing before it is sent
- Pay vendor charges such as test, lab, MRO, MVR and query fees
When something urgent comes up
Urgent items include a positive test notice, an out-of-service order, a crash, or an audit or investigation notice. We contact your named safety contact the same business day, explain the options, and tell you what we need from you.
If the matter needs a lawyer, substance abuse professional, medical review officer, medical examiner or other specialist, we tell you and, with your approval, help you reach a qualified one. We do not give legal advice.
How onboarding works
- 1. Fleet compliance review: a call to learn your operation, fleet size and main concerns.
- 2. Written scope and agreement: what we do, what you do, and the monthly price.
- 3. Documents and access: you send driver files and give read access to your ELD and maintenance records.
- 4. Baseline gap review: we check what you have and give you a written list of what is missing, most urgent first.
- 5. Catch-up plan: we agree how to close the gaps. Large driver file rebuilds are quoted separately.
- 6. Monthly service begins, with your first status report at the end of the first month.
Fleet size and what is not included
We take fleets of about 5 to 25 power units. Larger fleets, up to about 50, are a custom quote, and we only take them when we have the capacity to do the work well.
Fleets under 5 power units usually fit our compliance management plans better.
- Not included: dispatch, driver recruiting, payroll, insurance claims, or filings for your operating authority
- Not included: legal advice or representing you in an enforcement case
- Not included: vendor charges such as tests, lab and MRO fees, MVR fees and Clearinghouse query fees
- Your company stays responsible for its own compliance. We do not guarantee audit results, a CSA score change, or that every violation will be prevented.
